Nexsure 2.1.1 Important Notifications

Security Alerts

The following security items can be found by accessing the user rights templates for each user type. To access the templates, on the Utility menu, click SETUP > Security Administration > user rights templates. Selecting the check box as explained below and saving the template prior to exiting provides the newly assigned rights. After assignment of rights, ask users affected by the change to log out of Nexsure and then back in to activate the new security rights.

Rating Tab

The rating tab is new in this release and is accessed only from the INTERFACE screen. If employees have not been granted access to the INTERFACE screen, they will not be able to access the rating tab. In order for employees to have access to this tab, View rights will need to be granted.

• View: When selected, allows the user to view the rating tab and gives access to the details of the rating download.
• Add: When selected, enables the Accept link and the [Bridge] link and Accept link on the rating summary tab.
• Modify: When selected along with the View rights, enables the Details icons for the client profile and the rating application.
• Delete: When selected, enables the Remove icon, the Reject link and the Remove link on the rating tab.

Accounting 

• Lockbox
• Lockbox files are transferred daily from the bank provided software to Nexsure. The files are processed by Nexsure as they are received. If all information matches, the lockbox files will complete processing automatically. If an exception is found and processing cannot be completed, new exceptions handling has been added to the lockbox summary tab. (F4946) Link to topic
• Added mandatory general ledger number for Lockbox Suspense Account. Number added is 110050, however if that number is already in use, the next successive number will be used. (F5998) Link to topic
• Add link in deposit for Lockbox suspense processing. (F5999) Link to topic
• Add Deposit Method LBX – Used exclusively for Lockbox Suspense Account. Once any exceptions from the lockbox have been processed and there are no longer exceptions, a deposit record is created.(F6000) Link to topic
• Create posted receive payments with lockbox processing that are altered using lockbox exceptions handling. (F6001) Link to topic
• Changed branch level lockbox tab to invoice lockbox T1 tab. (F6002) Link to topic
• Added territory (book level) lockbox tab titled receipt automation lockbox T1 tab. Lockbox processing is available to create a posted deposit upon receipt of lockbox batch files and automate the entry of receive payments within the lockbox file. The lockbox must be added for the lockbox download to process successfully. This set up is necessary to associate lockboxes to a territory.(F6003) Link to topic
• Added new section to the invoice defaults tab in the Invoice Lockbox Matching area to facilitate lockbox processing. (F6024) Link to topic

• Added the Lockbox Match option to invoices to facilitate lockbox processing. At the invoice level, the lockbox matching criteria can be selected. This selection is only available if the invoice defaults selection for Include Lockbox Dropdown is selected. See the Invoice Defaults Tab topic for more information about lockbox matching setup.(F6027)
• Security settings can be modified to allow certain staff members access to the Receipt Automation Lockbox T1 tab and functions on that tab. (F6028) Link to topic
• New fields have been added to the Edit Invoice Header dialog box. The following fields have been added or updated: (F5876) Link to topic

• Down Payment Eff. Date: Enter the effective date of the down payment. If the invoice is being set up exclusively for installments, the date should be left blank.
• Down payment Date Booked: Enter the date booked for the down payment. If the invoice is being set up exclusively for installments, the date should be left blank.
• Down Payment Due Date: Enter the due date of the down payment. If the invoice is being set up exclusively for installments, the date should be left blank.
• Installment Frequency: Select the frequency which the installments are due.

• 1st Installment Date Booked: Enter the date the first installment was booked. This box defaults to the policy effective date or the transaction date, whichever is later.
• 1st Installment Due Date: Enter the date the first installment is due. This box defaults to the Date Booked + Invoice Days Until Past Due (from Department settings).

CRM

• Added Save Filter Settings to policy binder tab and added new sort options of Updated By and Updated Date. (F4221)

• Lockbox
• Added new tabs and structure to the HOME > INTERFACE screens. Click INTERFACE and the download summary tab is now displayed. The rating and lockbox tabs can also be accessed from the INTERFACE link. On the download summary tab, the total commission dollar amount is also now displayed for associated downloads. • A new rating tab is now available by clicking INTERFACE on the Utility menu. The rating tab has been made available so that all rating downloads can be viewed without other download file types. (F6006) Link to topic

• A new lockbox tab is now available by clicking INTERFACE on the Utility menu. The lockbox files are transferred daily from the bank provided software to Nexsure. The lockbox file log tab holds high level lockbox file information. Clicking on a Warning icon will allow user to correct an exception and continue processing a file by clicking the icon and then clicking Accept. An Error icon denotes an exception that cannot continue processing.

Lockbox notifications can be set up to enable Nexsure to send email notifications to selected Nexsure users. The notifications are sent to specified user rights templates groups. For example, if the notification is set up for the Account Manager user rights template, then all users designated as an Account Manager will receive the notification.

• New exception being added for lockboxes that have 0 payment activity. (F6418)

Reports

• Lockbox
• New Report: Lockbox Receipts. Once a lockbox batch has been successfully downloaded and processed, the Lockbox Receipts report can be used to output the data and see how much of the incoming funds were successfully matched to invoices and therefore applied to AR and how much had to be posted to a suspense account. The Exceptions are cleared through an Exceptions handling module. The Lockbox Receipts report also reflects clearing of the Exceptions once these receipts are manually posted which will take funds applied to Suspense and apply them to AR. (F5965) Link to topic
• Lockbox Exceptions Handling Screen: Print links have been added to the Navigation Toolbar at both the lockbox summary tab and under the details of an item on the lockbox summary tab to print exception items. (F5966)
